Daily Receival Summary (Live) Report

The Daily Receival Summary (Live) report allows you to see grower receivals purchased today as soon as the ticket information is available in GrainTransact.

Information displayed is updated in Near Real Time.

This report is available to users with buyer access.

The Receival Summary by Customer report that is updated once per day will provide you with cumulative totals for the season to date.

GrainTransact Path: Reports > Grower Receivals > Daily Receival Summary (Live)

Instructions:

1. Click on the Season Year drop down menu and select the appropriate harvest season.

2. The Arrival Date will automatically show today's date.

a. Alternatively, click on the Calendar icon and scroll to the date required.

3. Click on the Account drop down menu and select the appropriate account.

a. If there is only one company attached to the login, it will be displayed automatically.

4. Complete the rest of the fields as required, remember that:

a. Greyed out fields are optional as they are dependent upon another selection.

b. Click on the Binoculars icon to search for an unknown site number.

5. Click on the Search button to run the report for the selected search criteria.

Result: A report using the search criteria is displayed in the lower panel of the screen.

6. Use the Report Bar to print or download the report.

Customer Holdings Summary (Live) Report

The Customer Holdings Summary (Live) report displays information about a customer’s stock ownership by site/port, season, commodity and grade.

Information is updated shortly after transaction data is available in GrainTransact. This gives you a live report on your stock position.

GrainTransact Path: Reports > Stock Reports > Customer Holdings Summary (Live)

Instructions:

1. Click on the Customer drop down menu and select the appropriate customer number.

If there is only one customer number attached to the login it will be displayed automatically

2. Complete the rest of the fields as required, remember that:

Greyed out fields are dependent upon another selection and will become available after the other selection is made.

3. Click on the Binoculars icon to search for an unknown site number.

4. Click on the Search button to run the report for the selected search criteria.

Result: A report using the search criteria is displayed in the lower panel of the screen.

5. Use the Report Bar to print or download the report.

Freight Providers: Search for Freight Bookings

GrainTransact allows you to enter new bookings against your customers’ orders as well as view existing bookings already in the system. These features are accessed using the ‘Freight Booking’ menu option.

Search for Existing Booking

1. You are able to perform a search using different criteria including GC reference No, Order Type, Direction, Date, Customer Reference, Commodity, Binned Grade, Season Year, Region, Port Zone, Site, Non GrainCorp Site, Destination Location.

Note: You may find search results more manageable if you fill in some search criteria, particularly if you carry out a large number of movements with GrainCorp.

Note: If your customer has provided us with a booking or order number we will record it so you can search using your customer’s number instead of using the GrainCorp Reference Number assigned to your customer’s order.

2. Click the Search button. Your search results will display in the lower panel.

3. Click on the GC Ref No. hyperlink to view/edit the Freight Booking Details.

4. Information about your bookings is displayed in two panels. The upper panel provides information regarding the Transport Plan Line GrainCorp has approved for your customer. This shows how many tonnes of a commodity, grade and season are to be moved and which sites are to be used.

The lower panel provides information onyour truck bookings. This is where you can create new bookings or delete existing bookings (see page 5 further information on how to add or delete bookings and see the status of existing bookings.

Note: To Return to the Freight Provider Booking List search results click the Return button. This allows GrainTransact to display your previous search results.

IMPORTANT INFORMATION

Each truck booking you make will have a different Site Movement Order (SMO) number. This is the most important information you need from GrainCorp.

Every time a truck arrives at a GrainCorp site an SMO number is required for each booking. If a truck is carrying out multiple bookings in a day a different SMO number must be quoted each time the truck arrives at a GrainCorp site.

If you use multiple trucks to complete a customer’s order you will need multiple SMO numbers; one for each truck booking.

The GrainCorp Reference Number, although similar to the GSO number used in the past, cannot be used in the same way as GSO numbers. That is, the GrainCorp Reference Number cannot be quoted by all trucks transporting grain for the same customer order. Each time a truck arrives at a site it will need its own SMO number.

For convenience, a truck performing a site-to-site movement can use the same SMO number at the origin and destination sites as this will refer to the same truck booking.

Using the Customer Request List for Growers

The Customer Request List allows you to search through all your existing title transfers in the one place. This includes Grower to Buyer Transfers (formerly Warehouse Transfers) and Grower to Grower Transfers.

Search using the Customer Request List

1. If your login provides you access to more than one NGR record in GrainTransact the Customer No field will display a drop down menu listing all NGRs you have access to. If you can only access once NGR record then the screen will default to this record.

2. Choose which type of transfer you want to search for using the Request Type drop down menu.

3. You are also able to choose other search variables such as Status and Collective no. (also called the GrainCorp reference number).

4. By clicking the chevron you can access more search filters such as User ID, Created on, Commodity, Binned Grade and Season Year To.

Important: The Customer Request List is used to search for a number of different types of transactions. Not all search fields will be relevant for all searches. If you do not need to use a search field, and it is not mandatory, you may leave it blank.

5. Click the Search button. A list of results will display in the lower panel of the screen

6. Click on the Request No. hyperlink to reveal more information about that item.

Note: To return to your search results, use the Return button instead of using the back button on your browser. This allows GrainTransact to retain your last search settings when loading the Customer Request List.

Creating a Site to Site Movement

A Site to Site Movement is a movement from on GrainCorp site to another GrainCorp site by road or rail.

If the Movement Request meets the following criteria then GrainTransact will Auto Approve the request and the planned outload will be ready for truck bookings to be entered. The criteria that need to be met are:

Freight Provider and Planned Tonnes per Day are entered.
At a Primary Site: the request is entered before 3pm on the business day before movement.
At a Major Site: request is entered before 3pm two business days before movement.
No additional quality requirements.
PRF requirements are not requested.
No general comments have been entered.
Automated credit checking passes.
The required total tonnage of all lines is less than 3000 tonnes.

When using a Road Freight Provider with a GrainTransact account, the company will be able to enter truck bookings online. If a Customer Reference is entered during the creation of a movement request, the Freight Provider will be able to find the Movement Request using the reference number. When the customer reference is used the GC Reference Number associated with the request will not be required.

Once a Movement Request has been has been completed, it can be reviewed in the Customer Request List.

There are five steps to creating Site to Site Movement Request:

Nominate the movement request type and who it involves.
Nominate what is being moved, when and to where it is going.
Enter the Non-GrainCorp Site Details and Quality Results
Assign the movement tonnages per Customer Holdings ticket and schedule the movement.
Confirm the movement.

How to enter a Site to Site Movement

Step 1: Nominate the movement request type and who it involves.

Steps:

1. Click on the radial button beside Site to Site to select it.

2. Click on the Customer drop down menu to select the appropriate customer account.

a. If there is only one customer attached to the login, it will be displayed automatically.

3. Click on the Contact drop down menu to select the appropriate employee to be contacted about the movement.

Result: The E-Mail Address, Telephone, Mobile Phone and Fax fields are auto-populated based on the Contact that was selected.

4. Click on the Next button.

Result: The Step 2 of 5 – Request Details page displays.

Step 2: Nominate what is being moved, when and to where it is going.

Steps:

1. Click on the Commodity drop down menu to select the stock type to be moved.

2. Type the Monday’s date for week the movement will occur during in the Valid From field.

Important:

The validity period cannot exceed one calendar week which runs from a Monday to a Sunday.
Enter the date using the format ddmmyyyy or use the calendar to select the date.

3. Type the Sunday’s date for the week the movement will occur during in the Valid To field.

4. Type the site code that the commodity will be inloaded at in the Destination field.

5. Click on the Binoculars icon to search for an unknown Site number.

6. Click on the Transport Mode drop down menu to select how the moment is occurring.

7. Type the Freight Provider’s customer number in the Freight Provider field to nominate the carrier who will be doing the movement.

Important:

The Freight Provider field is optional, however, GrainCorp Sales & Operational Planning must be advised who the carrier will be before planning the movement can be completed.

8. Click on the Next button to begin selecting the Customer Holdings.

Result: The Step 3 of 5 – Select Customer Holdings page is displayed.

Step 3: Select the Customer Holdings that will be moved.

To nominate the origin site/grade/season combinations will be used in the movement, first search for the appropriate customer holdings tickets, then select the tickets to be moved.

Steps:

1. Type the site number of where the movement is going in the Site field.

a. Click on the Binoculars icon to search for an unknown Site number.

2. Use any other search criteria to filter the Customer Holdings tickets that may be returned.

3. Click on the Search button to run the query.

a. Click on the Clear button if the search does report the expected outcome, or, to search for more

b. tickets; then run a new query.

Result: A list of ownership will display that matches the search criteria.

4. Click in the Add checkbox to select a Customer Holdings ticket to be moved.

Important:

• Click on the left hand checkbox to select all Customer Holdings tickets for movement.

Result: All tickets will have a checkmark in the Add checkbox.

• Click on the right hand checkbox to remove all checkmarks from the selection.

Result: All tickets will have a blank Add checkbox.

5. Click on the Add/Remove button to approve the selection.

Result: The Customer Holdings tickets are displayed in the Current Selection table.

6. Review the Customer Holdings tickets in the Current Selection table, considering the following:

The Owned Quantity, Committed Quantity and Uncommitted Quantity columns are included for information only to display the current ownership.
The Uncommitted Quantity shows how must of each ticket is available to be transferred and that is not already committed to other transactions.
Once there are some added items to the Current Selection table another search can be run to find other ownership if required.

7. Click on the Next button to continue planning.

Result: The Step 4 of 5 – Enter Line Details page is displayed.

Step 4: Assign the movement tonnages per Customer Holdings ticket and schedule the movement.

Steps:

1. Type the quantity per ticket in the Requested Quantity field per ticket line.

2. If required, type the tolerance by percentage or quantity in either the Tolerance (Percentage) or Tolerance (Quantity) fields.

Important:

The tolerance can be up to a maximum of 10% of the Requested Quantity.

If the chosen site/grade combination is available in the Site Availability Report they can be scheduled for outload on specific days.

3. Click on the expansion button on at the far right of the site/grade line to access the scheduling fields.

4. There are three methods to schedule the Requested Quantity:

a. Click on the Even Spread button to spread the Requested Quantity evenly over any available days.

b. Type a quantity in those days with a text box, which indicates that the site/grade are available. The total quantity requested on available days must equal the Request Quantity.

c. If a site is By Arrangement or Unavailable there will be no text boxes showing. The site/grade combination may still be requested, but the tonnage may not be able to be specified. GrainCorp Sales & Operational Planning will confirm the available movement days and tonnages during the Planning stage after the Movement Request is completed and submitted in GrainTransact.

5. Click in the PRF checkbox, if Pesticide Residue Free grain is required.

6. Type a quality requirements in the Quality Comment field.

7. Type a message in the General Comment field.

8. Click on the Next button to confirm the Movement Request.

Result: The Step 5 of 5 – Confirm Movement Request page is displayed.

Step 5: Confirm the movement.

Steps:

1. Click on the Confirm button to approve the movement.

Result: The Movement Request Created page is displayed.

Creating a Domestic Inload Movement

6. Type the Freight Provider’s customer number in the Freight Provider field to nominate the carrier who will be doing the movement.

Important:

The Freight Provider field is optional; however, GrainCorp Sales & operational Planning must be advised who the carrier will be before planning the movement can be completed.

7. Click on the Next button to begin selecting the Customer Holdings.

Result: The Step 3 of 5 – Enter Non-GrainCorp Site Details page is displayed.

Step 3: Enter the Non-GrainCorp Site Details and Quality Results

Steps:

1. Type the Non-GrainCorp site number of where the movement is going in the Destination field.

a. Clickon the Binoculars icon to search for an unknown Site number.

b. The Destination Type field will be auto-populated.

Important:

If the Non-GrainCorp destination is not presented, type 100001 in the Destination field.
The Enter New Destination Details pop-up box will display, complete all details then click the Save button. This new destination will be auto-assigned a site number and will be available for future use.

2. Click on the Season Year drop down menu to select the harvest season of the commodity being moved.

3. Click on the Binned Grade drop down menu to select grade of the commodity.

4. Type the required quantity to be moved in the Target Quantity field.

5. If required, type the overage amount as a percentage of commodity, that can be over the requested weight in the Tolerance field.

6. Click on the Pesticide drop down menu to select how the commodity has been chemically treated.

7. Click on the GMF Flag to nominate that the commodity is Genetically Modified Free.

8. Type the protein rating of the commodity in the Protein field.

9. Type the moisture rating of the commodity in the Moisture field.

10. Type the screenings rating of the commodity in the Screenings field.

11. Type the test weight of the commodity in the TWT field.

12. If required, type a message in the Quality Comment field.

13. Click on the Add button to create the line.

Result: A confirmation message will be displayed at the top of the screen confirming a line has been added to the Movement Request.

14. Click on the Add button to continue adding lines by complete the page again.

Result: A success message is displayed at the top of the page that reads: Site added to Parcel for Site. Click ‘Next’ to continue, or enter new details and click ‘Add’ to add more lines.

15. Click on the Clear button to clear the information on the page and follow steps 1 – 14 to add more lines.

16. Click on the Next button to begin entering the quantity details.

Result: The Step 4 of 5 – Enter Line Details page is displayed.

Step 4: Assign the movement tonnages per Customer Holdings ticket and schedule the movement.

Steps:

1. Type the quantity per ticket in the Requested Quantity field per ticket line.

Managing Prices – uploading multiple prices via a Buyer Pricing File

Instead of managing your prices one by one you can upload multiple prices using a Buyer Pricing File. Please read this section carefully if you would like to use this feature.

This feature is available to users with Buyer Price Management access only

Menu Path: Cash/Pool Prices > View/Edit Prices

There are four steps to using a Buyer Pricing File

Review the rules GrainTransact uses when processing a Buyer Pricing File
Create a Buyer Pricing File in the correct format
Upload the file to GrainTransact
GrainTransact notifies you of the results of processing your uploaded file

Rules when using a Buyer Pricing File

GrainTransact uses the following rules when process Buyer Pricing Files:

1. The Customer Number in the file must match the Customer Number you select when uploading otherwise the whole file will be rejected.

2. Files must be a tab delimited a .txt file and conform to the format described below. If the file does not conform to these requirements the whole file will be rejected.

3. The Total Count of Rows in the trailer record must be equal to the number of detail records in the file otherwise the whole file will be rejected.

4. The Effective Date To must be greater than or equal to the Effective Date From otherwise the record will be rejected. Processing of other records will continue.

5. The Effective Date From must be greater than or equal to tomorrow otherwise the record will be rejected. Processing of other records will continue.

6. If the Effective Date From is equal to tomorrow then your file must be uploaded before 8:00pm otherwise the record will be rejected. Processing of other records will continue.

7. If you publish a price for a grade not being taken at the specified site, the row will be accepted but the price will not appear on any reports or be displayed at site.

8. If GrainTransact detects an overlap between an existing price and a record for a new price in your Buyer Pricing File, the following rules are used to resolve the overlap:

(a) If the Effective Date From for the existing price is on or after the Effective Date From for the new price then the existing price is completely replaced by the new price.
(b) If the Effective Date From for the existing price is before the Effective Date From for the new price then Effective Date To for the existing price is changed to be the day before the Effective Date From for the new price so the new price can be uploaded.
NB these rules only apply if there is an overlap. If there is no overlap, no changes are made to the existing price, even if it occurs after the new price.

The diagrams below provide some examples of these overlap rules being applied.

Example 1:

Rule a:

The Effective Date From for is new price is not on or after the Effective Date From for the new price. Therfore, rule (a) does not apply.

Rule b:

The Effective Date From for the existing price is before the Effective Date From for the new price. Therefore, rule (b) applies.

Example 2:

Rule a:

The Effective Date From for is new price is on or after the Effective Date From for the new price (in this case it’s on the same day) therefore rule (a) applies.

9. Price assumes AUD as the currency.

10. If there is a trailing space or trailing tab at the end of a line the row will error. Processing of other rows will continue.

Creating a Buyer Pricing File

File type

Files must be created in a text tab delimited format with a .txt file extension. You create the file by starting with a blank file and then adding rows according to the file structure described below. A common way to do this is using a spreadsheet program like Excel which can export to a tab delimited .txt file.

Naming convention

You may use any name when uploading your file as long as the file extension is .txt. When processing your file GrainTransact will rename it and save it. You can download a copy at any time using the File List. GrainTransact renames Buyer Price Files with a prefix (BPR), user type (I for internal or E for External), a customer number (padded to 10 digits), the date (YYYYMMDD) and the time (HHMM) at which the file was created.

BPR.txt

For example, a file uploaded by an external user on 15 February 2010 at 8:45am for customer number 123456 will be named:

BPRE0000123456201002150845.txt

File structure

Each line in your file is one record that is processed by GrainTransact. Your file must be in the structure:

One header record
A detail record for each price you want to create in GrainTransact
One trailer record

The tables below describe the structure of header, detail and trailer records. A sample file format will be uploaded to the GrainTransact Resource Centre in the near future

Header Record

The first line of the file must be a header record and contain the following information.

Trailer Record

The last line of the file must be a trailer record and contain the following information. This is used to validate the detail records processed and to denote the end of the file.

Uploading a Buyer Pricing File

You must create your Buyer Pricing File in the correct format for GrainTransact. See the above section for the format required.
Using the GrainTransact menus, go to Cash/Pool Prices > View/Edit Prices
Scroll to the bottom of the page and click Browse to locate the required file.
Click Upload File.

You will see a message to confirm that your Buyer Pricing File was successfully copied from your computer to the GrainTransact server. This is not confirmation your prices were processed successfully. GrainTransact will now attempt to process your file. You are encouraged to upload your file well before 8pm to ensure your file is processed before this cut-off. When it is finished, the results will be available in several formats, as described in the section below.

Results of processing your file by GrainTransact

GrainTransact will process your file and will send an email with the results of processing your file to anyone with Buyer Price Management access for the customer number you have uploaded prices for. In addition, files will be created containing a list of any errors and a summary of how many records were processed. These are available through the File List.

Buyer Pricing – Error contains text files with a description of any errors detected for all or part of your Buyer Price File. These error files are named in the format BPE.txt. For example:

BPE0000123456201002150845.txt.

Buyer Pricing – Processed contains copies of your Buyer Price File.

Buyer Pricing – Summary contains text files with a summary of the results of processing your Buyer Price File. These error files are named in the format BPS.txt. For example, BPS0000123456201002150845.txt.
